Everything Tradelynx does / Letting agents
What Tradelynx does for letting agents
Per-tenancy compliance resolved by the engine, tenant repair intake, and dispatch to verified contractors, across every managed property.
A letting agent gets per-tenancy compliance resolved by the engine, deposit protection, Right to Rent, alarms and the written statement on top of gas, electrical and EPC, a Renters' Rights readiness view at real legal status, tenant repair intake under the agent's own name, dispatch to a contractor panel, and evidence exports.

1. What you can do
- Statutory compliance calendar. Every statutory duty across your properties (gas, electrical, EPC, fire, legionella, asbestos, lifts, building safety) bucketed overdue, missing, due soon and upcoming, with a per-property list, evidence grades and one-click official checks.
- Per-tenancy compliance. For a private-rented tenancy the engine resolves deposit protection, Right to Rent, smoke and CO alarms and the written statement of terms on top of gas, electrical and EPC, with due dates and evidence grades.
- Asset register and planned maintenance. Register maintainable assets per building with make, model, install date and cadence; assets drive the statutory calendar and a PPM schedule that rolls forward when a service is recorded; a due item becomes a case in one click.
All 21 capabilities
| Capability | What it does | Evidence | Cost | Where | What it does not do |
|---|---|---|---|---|---|
| Statutory compliance calendar | Every statutory duty across your properties (gas, electrical, EPC, fire, legionella, asbestos, lifts, building safety) bucketed overdue, missing, due soon and upcoming, with a per-property list, evidence grades and one-click official checks. | Register, Platform-verified, User-entered | Workspace, agreed per organisation | Web, Enterprise app | Status is surfaced from records held, never guaranteed; EPCs are confirmed against the live register. |
| Verified at source | A record backed by a live register check or a verified contractor job is marked verified at source and ranks above a document on file; the proportion is shown as a metric. | Register, Platform-verified | Workspace, agreed per organisation | Web, Enterprise app | Registers without a public API are recorded as configured and checked by their public lookup. |
| Evidence export for the regulator or auditor | One-click CSV of the compliance position with the grade per entry, and an Excel export of the workspace's data. | Platform-verified, User-entered | Workspace, agreed per organisation | Web | An unqualified 'verified' claim is structurally impossible: every entry carries its grade. |
| Due and expired reminders | An email to the workspace owner when a statutory item becomes due or expires, once per event. | Derived | Workspace, agreed per organisation | Web | Once per event; the calendar is the record. |
| Cases and dispatch to a panel | Open, assign and work cases; dispatch to your own panel of verified contractors; keep every conversation in one workspace index. | Platform-verified | Workspace, agreed per organisation | Web, Enterprise app | Your panel, your contractors; routing offers, it does not commit them. |
| Import your stock and panel | Portfolio import with address, UPRN, archetype, tenure and tenancy details; contractor panel import. | User-entered | Workspace, agreed per organisation | Web | Imported records are yours as entered; verification comes from registers and jobs afterwards. |
| Contractor scorecards | Per-contractor performance from verified jobs: response, completion and evidence, honestly blank where there is no data. | Platform-verified | Workspace, agreed per organisation | Web | Built from work the platform saw; nothing is inferred about work it did not. |
| Portfolio intelligence and risk centre | Portfolio-level health, risk and EPC C-readiness: the below-C split with each certificate's own measures and costs, one click to a dispatchable case, and a forwardable CSV. | Register, Derived | Workspace, agreed per organisation | Web | The in-force MEES E floor and the consulted 2030 C standard are reported as separate facts; England and Wales. |
| Building Safety Act golden thread | For higher-risk buildings, the required set per building with status and evidence, a document store to the BS 8644 structure, and change control fed by verified contractor work where the owner consented. | User-entered, Platform-verified | Workspace, agreed per organisation | Web | Unavailability is stated honestly where consent or a link is missing. |
| Ask this building | Plain-English questions about a building answered only from its register, store and consented verified work, with citations. | Platform-verified, User-entered | Workspace, agreed per organisation | Web | Compliance verdicts are banned by construction; every answer says it is an operational aid, not legal advice. |
| Invite an owner to claim their Passport | Generate a claim-invite link for a property and hand it to your customer; you see pending or claimed, and seeing their record still needs their consent. | Platform-verified | Workspace, agreed per organisation | Web, Enterprise app | Tradelynx never contacts the owner; every request and fulfilment is logged. |
| Consented property history | The verified history an owner has consented to share, with the grade on every entry, as a page and a PDF; every read passes one gate and a database-level consent floor. | Platform-verified | Workspace, agreed per organisation | Web | An un-consented row cannot be returned; the owner's own view is the only ungated one. |
| Property Intelligence API and webhooks | Scoped API keys, public documentation with the method behind the risk products, webhooks with retry, and a licensed feed of the Property Health Index. | Platform-verified, Register | Property Intelligence API, per request | Web | The price per request and the monthly minimum charge only when priced, activated and above the coverage threshold; until then the API is free and the documentation says so. |
| Team, roles and security | Invite your team with roles, require a second factor for the workspace, and reveal key-safe codes only through an audited two-step. | Platform-verified | Workspace, agreed per organisation | Web, Enterprise app | Second factor is mandatory for workspaces; key-safe reveals require re-authentication and are logged. |
| Interactive demos per persona | A day-in-the-life demo of the workspace for your persona on sample data, no account needed. | Derived | Free | Web | Sample data, labelled; capabilities shown as preview are badged as such. |
| Resident hazard reporting | Residents report hazards from their own page and the case opens in your workspace. | User-entered | Workspace, agreed per organisation | Web | Resident data processing is gated on your DPA. |
| Per-tenancy compliance | For a private-rented tenancy the engine resolves deposit protection, Right to Rent, smoke and CO alarms and the written statement of terms on top of gas, electrical and EPC, with due dates and evidence grades. | Register, User-entered | Workspace, agreed per organisation | Web | Tenure-gated; Right to Rent is tracked, documents are not captured. |
| Renters' Rights readiness | Each reform measure shown at its real legal status: live, not yet law, or awaiting a start date. | Derived | Workspace, agreed per organisation | Web | Nothing not in force is presented as available. |
| Void management | Track void periods and turnaround work per property. | User-entered | Workspace, agreed per organisation | Web | A preview, labelled as one. |
| Your own tenant repair page | A public intake page under your name where tenants report repairs and track them, with the urgent call prompt. | User-entered | Workspace, agreed per organisation | Web | Intake and tracking; the work is yours to dispatch. |
| Asset register and planned maintenance | Register maintainable assets per building with make, model, install date and cadence; assets drive the statutory calendar and a PPM schedule that rolls forward when a service is recorded; a due item becomes a case in one click. | User-entered, Derived | Workspace, agreed per organisation | Web, Enterprise app | An asset with no anchor date is shown as needing one, never invented; decommissioned assets stop driving duties. |
2. What it costs
Workspace pricing is agreed per organisation and published when live; the priced lines below charge only when priced, activated and above their data threshold.
- Property Intelligence API, per request: free during the pilot; charging is not switched on yet.
Every price on this page is resolved from the one pricing source at the moment the page is served; a line charges only when it is priced, activated and above its data threshold, and until then it says so.
3. Where the data comes from
- Register (5 capabilities). Read from an official register (the EPC register, HM Land Registry Price Paid, the Environment Agency, Historic England, Companies House, the FCA register) and shown as the register's own, with its reference.
- Platform-verified (11 capabilities). Recorded by the platform as it happened: a job completed and confirmed through Tradelynx, a payment it processed, an identity or credential it checked, a consent it logged.
- User-entered (10 capabilities). Entered by the person it belongs to and shown as their declaration; graded Unconfirmed until evidenced, and excluded from third-party reports until then.
- Derived (5 capabilities). Computed from the records above by a stated method (a score, a forecast, a due date); labelled indicative, never a quote or a verdict.
4. What it does not do
- Compliance status is surfaced from the records held, not guaranteed.
- Renters' Rights measures are shown at their real legal status: a reform that is not yet law is never presented as available.
- Right to Rent is tracked as a duty; immigration documents are not captured.
- Void management is a preview and says so.
- No published price yet: what is live and why the rest is free is stated on the enterprise pricing page.
